How it works
Payroll Processing Deadlines and Approval
We agree your payroll calendar when you join. It gives everyone a clear deadline for information, checking and approval.
Our standard timetable
| Stage | Monthly payroll | Weekly payroll |
|---|---|---|
| Complete information | Five working days before payday | By noon two working days before payday |
| Approval | By noon the working day before payday | By noon the working day before payday |
For a normal Friday weekly payday, information is due by noon Wednesday and approval by noon Thursday. We confirm the exact monthly information cut-off at onboarding. Working days exclude weekends and bank holidays applicable to the agreed timetable.
1. Send complete instructions
Provide the agreed information together: hours and overtime, pay changes, starters, leavers and relevant absence details. Check that changes are authorised and that starter details are complete. Tell us even where the instruction is that there are no changes.
2. Check the payroll
We prepare the calculations and send the agreed reports by password-protected email. Check the employees, gross pay, changes and net pay. Raise any questions promptly and provide explicit approval by your deadline.
3. Finalise and pay
After approval, we finalise the agreed documents and submissions. You arrange payments to employees, HMRC and the pension provider. Allow the lead time required by your bank; Bacs and other payment arrangements may require earlier information and approval deadlines.
Late information or approval
Late information or approval may delay processing and incur additional charges. We confirm whether a late request can be accommodated. Paying an extra fee does not guarantee that a missed deadline can be recovered. Christmas and bank holiday timetables are agreed separately where necessary.
